The Data & Compliance Manager is responsible for ensuring that BPIF Training meets all regulatory and contractual compliance requirements for apprenticeship delivery. This is a full-time, home-based role — though we’d prefer someone within reach of our head office in the West Midlands. It covers data reporting, funding compliance, and making sure our processes align with DfE and Ofsted requirements. You’ll work closely with the Operations Director and the Compliance team to uphold the highest standards of data accuracy and regulatory compliance, while playing a strategic role in improving how we work.
Strategic oversight of compliance
- Develop and implement a structured internal audit framework to identify and resolve compliance risks.
- Ensure our compliance infrastructure is resilient to changes in funding rules and audit requirements.
- Lead the development of compliance strategies that maintain regulatory adherence and operational efficiency.
- Support the launch and development of the Audit & Risk Committee, ensuring compliance data informs decision-making.
Data management and reporting
- Oversee the collection, validation and reporting of apprenticeship data against DfE funding rules.
- Ensure timely, accurate ILR submissions, with robust validation processes behind them.
- Use validation tools including PDSAT to keep submissions error-free and spot data quality risks before funding claims.
- Oversee off-the-job hours and functional skills data to meet DfE evidence requirements and minimise audit risk.
- Analyse performance data to identify trends, risks and opportunities for improvement.
- Keep current with DfE funding guidance and Ofsted requirements, advising the team on what needs to change.
Compliance and regulatory oversight
- Ensure delivery complies with funding rules, Ofsted regulations and our internal policies.
- Conduct internal audits and compliance checks to minimise funding risk and protect data integrity.
- Provide guidance and training to staff on compliance, funding and data accuracy.
- Manage relationships with external auditors, funding bodies and regulatory agencies.
- Support Ofsted inspection readiness, including compliance evidence, self-assessment and data summaries.
Systems and process improvement
- Ensure PICS is fully optimised for our needs, improving data entry accuracy and reporting efficiency.
- Develop Smart Assessor as a key data source for learner progress, ensuring accurate and timely recording.
- Contribute to our Power BI dashboards and Data Hub so compliance and performance data is usable.
- Work with operations teams to identify improvements to compliance and data integrity.
Stakeholders and financial compliance
- Mentor colleagues to embed a culture of data accuracy and compliance awareness.
- Work with the Operations Director on accurate funding claims and financial forecasting.
- Minimise funding clawbacks and financial risk through robust compliance monitoring.
- Proven experience in a data or compliance management role within apprenticeships or further education.
- Strong knowledge of DfE funding rules, ILR submissions and Ofsted compliance requirements.
- Practical experience with PICS (or equivalent MIS), PDSAT, FRM and ILR quality assurance.
- Sound understanding of off-the-job hours, functional skills data and co-investment compliance.
- High attention to detail, with strong analytical skills and the ability to turn complex data into action.
- Excellent communication and stakeholder management, including with external funding bodies.
- Experience with Smart Assessor or an equivalent e-portfolio system.
- Experience preparing evidence for Ofsted inspections in a training provider.
- Experience managing a small compliance or data team, or a willingness to grow into it.
